View Authorities
If you are a prescriber, you can view all of your monitored drug authorities, read related correspondence, and click through to the related patient profile.

View your authorities

From the navigation menu, select Authorities.

(If required) Filter by Date Range.

(If required) Apply additional filters to each column header.
My Authorities displays all of your authorities. By default, the most recently updated authorities are at the top of the list.
- Click to open an existing Authority and take the appropriate Action.
- If the authority cannot be found, select

The authority status is set to Pending (by default).
The authority status is updated when an Action is taken on the authority.
When the authority is Approved and Saved, the Authority Number is displayed (top right). A version number is added [N] each time the authority's Status is changed.
Start/End Date/Number of Months
Enter a start and end date for the authority.
Start date is mandatory. End date is optional.
When you enter the number of months, the end date is automatically calculated.
When the end date is reached, any Approved authority is automatically set to Expired. It can still be viewed (as read-only) from My Authorities.
Action
When a new authority is created, Submit is the only Action available for selection.

PatientIf you are creating a new authority, search for a patient to link to this authority .
- Expand the Patients section.
- Enter at least one character in First Name or Surname. Optionally, enter one or more character in Date of Birth, or the patient's IHI Number, then select
A list of matching patients displays in Patient Search Results.
. - From Patient Search Results, select the relevant entry.
- Click through to view more patient details and make any required changes.
- Select the relevant entry and add it to the Patient section.
A patient with a medication history only (and no linked regulatory profile) can be selected and added to an authority.
- Once the selected patient has been added, do one of the following (if required):
- View patient - Open the profile to view the full patient details and make any required changes.
- Remove patient - If your patient selection is incorrect.
If you cannot locate the patient you want to add to this new authority, create a new record for this patient, then link it to the authority.

The patient details display on the authority page.
A temporary profile is created for this patient.
You cannot complete this authority until the DDU has reviewed this temporary profile.
When a new authority request is submitted for a patient with a temporary profile, an alert message is generated for DDU.
While this profile is temporary, it does not display in Search Results, and therefore cannot be linked to any other entity.
The DDU user reviews the temporary profile and can save the profile, create it as a patient profile or remove it.
The DDU user approves the profile and saves it.
The profile is saved as a patient profile.
The flag is removed. This patient profile is now displayed in Search Results and can be linked to other entities.
The DDU user creates a new patient profile for this patient and saves it. It is added to this authority.
The flag is removed.
The temporary profile is discarded.
Select another patient to complete this authority.
Once the patient profile has been created, the practitioner can complete this authority.

Practice address
Mandatory
When submitting or editing an authority application (Pending or Waiting for additional information), the prescriber must provide their postal address details.
When the authority has any other status, Practice address is read-only.
This address is checked by the DDU. It is also included in all correspondence generated from this authority.
Select an address from the list organisations linked to the practitioner's profile.
If Other is selected, enter a new postal address.
Practice address is not displayed when the authority was created from the ScriptCheckSA Management Portal.
MedicinesYou can add medicines to an authority that is either Pending or Waiting for additional information.

Select Search for medicine, and enter at least three characters. You can search by brand name or generic name.
A list of medicines is displayed, sorted alphabetically by drug name.

For MATOD authorities, search results may be restricted, depending on whether the practitioner is MATOD-accredited or not.

For all other authorities types, search results only display drugs that are relevant to this authority type.

Use the scroll bar to navigate through the list, then select the required entries.
The selected medicines display.
Generic names are added to the authority, even if you search for and select a medicine based on its brand name.

Fill in the directions for use for each of the medicines selected.

For MATOD only, you can also request unsupervised doses (formerly called take-away).
When you set the toggle to Yes, a popup screen displays.

Provide the unsupervised dose details:

Click Save.
The requirement for Unsupervised doses applications are now based on the Number of unsupervised doses field. An Unsupervised doses application is not required if the number of unsupervised doses:

is less than or equal to 28, for Methadone

Select next to a medicine to remove it.
If you remove an unsupervised doses medicine, the unsupervised dose details are also removed.

CorrespondenceThis section shows the correspondence that DDU has sent in relation to your authority, as well as files that have been uploaded to the authority by DDU or practitioners, in reverse chronological order.
Upload a file to an authority

Drag and drop the file onto the Upload Document window, or select Choose File to select a file from your device.

Select Upload.
Your file is displayed in the grid. ScriptCheckSA will notify DDU that your file has been uploaded, so that it can be reviewed.

To save your file upload, click Save on the patient profile.

You can delete files you have uploaded, up until they have been reviewed by DDU.

View authority letters
Letters from DDU are attached as PDF documents.

Select the Filename of a letter to view or download it.
You can only see letters on authorities that you hold. However, all practitioners can see other files that have been uploaded to an authority, unless DDU has restricted access to a particular file.

Save for later - If all the required inputs have been filled with valid data, but you do not want to submit your request, ensure no Action has been selected, then
.Your request is saved with Status set to Pending and displays on the My Authorities grid. You can search for this authority and submit it at a late date.

Save and submit - If Action is set to Submit, and all the required inputs have been filled with valid data, select
to submit your request for approval. Your request displays on the My Authorities page with its Status set to Submitted.Once a new application for an authority has been submitted, prescriber can cancel the submitted version before it is actioned by a regulator (see Cancel an authority below).

Cancel without saving - If the form is blank and you do not want to proceed with your request,
to return to My Authorities.

Request an amendment

From My Authorities, search for the relevant authority, with Status set to Approved.

Open this authority, and set Action to Amend.

(Mandatory) Select an Action Reason for requesting the renewal.

(Optional) Provide additional information for the Action Reason.
All other fields are read-only.

ScriptCheckSA creates a new version of the authority with the Status of Pending and the Application Purpose of Amend.

From My Authorities, open the newly created version of this authority.
All enabled fields can edited, as required.

In Medicines, make any changes to medicines being requested, if required:
Turn on the toggle and then enter the changes to directions for use.
The Dose, Unit of measure, Formulation, and Frequency are read-only. These fields are populated regulator during the review process.

In Correspondence, upload additional documents, if required.

Set Action to Submit.

If all required inputs are present and valid, the amendment request is saved and displays in My Authorities as Submitted and the with purpose of Amend. The version number is incremented.
Request a renewal

From My Authorities, search for the relevant authority, with Status set to Approved.

Open this authority, and set Action to Renew.

(Mandatory) Select an Action Reason for requesting the renewal.

(Optional) Provide additional information for the Action Reason.
All other fields are read-only.

ScriptCheckSA creates a new version of the authority with the Status of Pending and the Application Purpose of Renew.

From My Authorities, open the newly created version of this authority.
All enabled fields can edited, as required.

If all required inputs are present and valid, ScriptCheckSA creates a new version of the authority with the status of In Progress.
Cancel an authority
Practitioners can submit a cancellation when authorities are no longer required. For example, when the Status is Pending, Submitted, Waiting for additional information, In progress or Approved.
Once the cancellation has been submitted, these authorities display in My Authorities with their Status set to Cancelled.
Authorities that have been Expired, Revoked or Refused can still be accessed by practitioners from My Authorities
